CANCELLATION POLICY

Cancellations must be made in writing and will be accepted up until 5:00PM (Eastern), March 28, 2025. Cancellations made by this date will be refunded, minus a $100.00 Administration Fee. No refunds will be made after 5:00PM (Eastern) on March 28, 2025, and there will be no refunds for No-Shows. Annual Meeting registration cancellation refund deadlines remain in effect regardless of any situations that may arise during the attendees’ travel.

HOTEL REGISTRATION

Registration for the 2025 Annual Meeting DOES NOT include or guarantee hotel accommodations. All hotel accommodations should be booked separately. See “Travel & Hotel” button above.

LARGE OFFICE DISCOUNTS

For Office & Large Office Discounts, all registrants MUST BE current OVDRA members. One of the two (or more) registrants will pay the full, non-discounted amount. Subsequent registrants will receive the discounted price. Students/Residents DO NOT count toward the Office total. Complimentary registrants CANNOT use their comp registration as the initial payment. NOTE: when registering an office or when registering multiple people, each individual MUST have their own unique email address.

TRAVEL INFORMATION

The Dallas/Ft. Worth area has two airports to choose from:

Dallas/Ft. Worth (DFW) airport is approximately 25 minutes via car to the Omni Ft. Worth Hotel without traffic.

Dallas Love Field (DAL) airport is approximately 40 minutes via car to the Omni Ft. Worth Hotel without traffic.

REAL ID for US Flights

Beginning May 7, 2025, U.S. travelers will need a REAL ID-compliant form of identification to board domestic flights or enter certain federal facilities. By enforcing this new requirement, the Department of Homeland Security (DHS) aims to enhance security by mandating that all state-issued IDs meet federal standards.  

To obtain a REAL ID, individuals must visit their state's driver’s licensing agency and provide documentation verifying their full legal name, date of birth, social security number, proof of address and lawful status. According to USA Today, REAL IDs are identifiable by a special seal, varying slightly by state, on the upper-right corner of the card. 

In lieu of a REAL ID, alternative TSA-approved forms of identification—such as passports, trusted traveler program cards (e.g., Global Entry, NEXUS, SENTRI) or Department of Defense IDs—will also be accepted.
